Qiwi is an international consortium of companies specializing in payment and financial services across Russia and various other nations. Qiwi plc encompasses the Qiwi payment system, Qiwi Bank, the Contact money transfer service, Factoring Plus services, Flocktory, QPlatform, and the online advertising agency RealWeb. As of the end of September 2021, the Qiwi payment network comprised approximately 15 million virtual wallets and over 96,000 kiosks and terminals. The company boasted more than 27 million active clients, and by 2023, it extended its operations to eight countries: Belarus, Brazil, Jordan, Kazakhstan, Moldova, Russia, Romania, and the USA. Additionally, nine countries were served under franchise agreements: Argentina, India, Kyrgyzstan, Colombia, Malaysia, Panama, Peru, Tajikistan, and Chile.


As a result, the number of processed documents increased by 46%, the number of lost documents and contacts decreased, and the number of errors decreased by 62%.


THE CHALLENGE:

The Financial department of the company's branch sought to optimize processes in order to achieve a significant increase in the speed and accuracy of work and cost savings, subject to an increase in the quality of work.

THE SOLUTION:

The analysis showed that the speed and accuracy of staff work is hampered by overly confusing and complex regulations. About 25% of working time was spent on unproductive and unnecessary functions.

After collecting statistical data on employee activities, a methodology was used to assess functional efficiency and process costs, determine optimal workflow sequences, staff numbers, and estimate process costs based on total costs. Subsequently, regulations were changed, which helped reduce unproductive costs.

RESULTS:

Successful elimination of the root causes of operational inefficiencies allowed for restructuring and process optimization, and a specialized methodology helped accurately determine the optimal number of department personnel required.

As a result, the number of processed documents increased by 46%, the number of lost documents and contacts decreased, and the number of errors decreased by 62%.
